Privacy Policy

Same Day Basix is a trading name of AustechHub Pty Ltd (ABN 59 671 673 555). This policy explains how we collect, use, store and disclose your personal information when you use samedaybasix.com.au, order a BASIX certificate or contact us. We handle personal information in line with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth). Last updated: 27 September 2026.

1. What we collect

We only collect what we need to prepare your BASIX certificate, take payment and stay in touch about your order. This may include:

  • Contact details: your name, email address and phone number.
  • Project details: the property address and information about the work, such as pool or spa volume, heating and cover, estimated construction cost, the type of alterations or additions, materials, glazing and fittings.
  • Documents you send us, such as plans and drawings.
  • Order and payment records: what you ordered, the amount paid and the date. Card payments are processed by Stripe. We do not see or store your full card number.
  • Communications: emails, text messages and notes of phone calls with us. Phone calls to Same Day Basix may be answered by an automated AI assistant. Calls may be recorded and transcribed, and a summary is saved to your customer record so we can respond to your enquiry.
  • Website usage information collected through cookies and similar technologies, such as pages visited, the device and browser used, and which ad you clicked to reach us.

2. How we collect it

We collect personal information directly from you when you fill in a form on our website, complete checkout, email or call us. If a builder, designer or other person orders a certificate for your property, they provide the project details to us on your behalf. Our website and checkout also collect some information automatically through cookies and tags (see section 7).

3. Why we use it

  • To assess your project, resolve the BASIX targets, and prepare and register your certificate.
  • To contact you about your order, including questions about your project and delivering your certificate.
  • To take payment and issue tax invoices and receipts.
  • To keep records we are required to keep by law, such as tax records.
  • To respond to enquiries, complaints and requests to use your free revision.
  • To measure and improve our website and advertising.
  • To send you occasional updates about our services, if you have not opted out. You can unsubscribe at any time using the link in the message or by contacting us.

4. Who we share it with

We do not sell your personal information. We share it only where needed to provide our service or where the law requires it, including with:

  • The NSW Government, through the NSW Planning Portal and BASIX tool. The project address and details are entered to generate and register your certificate, and the certificate itself contains that information.
  • GoHighLevel (LeadConnector), which provides our website forms, customer records, checkout, email and text messaging.
  • Stripe, which processes card payments.
  • Our website hosting and email providers.
  • Google, for advertising measurement through tags on our website and checkout.
  • Our professional advisers, such as our accountant, where needed.
  • Anyone else you ask us to share it with, such as your builder, designer or certifier, or where required or authorised by law.

5. Overseas disclosure

Some of our service providers, including GoHighLevel, Stripe and Google, may store or process information outside Australia, including in the United States. We take reasonable steps to use providers that protect personal information to a standard similar to the APPs.

6. Storage, security and retention

Your information is stored electronically with our service providers. We use reasonable measures such as access controls and secure, encrypted connections to protect it from misuse, loss and unauthorised access. We keep records for as long as we need them for the purposes above and to meet legal obligations. Order and tax records are kept for 7 years. When we no longer need information, we take reasonable steps to delete or de-identify it.

7. Cookies and advertising tags

Our website and checkout use cookies and similar technologies, including the Google Ads tag, to understand how visitors use the site and to measure the results of our advertising. Our forms and checkout are provided by GoHighLevel and use their own cookies to work properly. You can block or delete cookies in your browser settings, but some parts of the site, such as the order form, may not work without them.

8. Accessing and correcting your information

You can ask for a copy of the personal information we hold about you, or ask us to correct it, by emailing hello@samedaybasix.com.au. We will respond within a reasonable time, usually within 30 days. If we refuse a request, we will tell you why.

9. Complaints

If you have a concern about how we have handled your personal information, please email us first at hello@samedaybasix.com.au so we can try to fix it. We aim to respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

10. Changes to this policy

We may update this policy from time to time. The current version is always on this page, with the date it was last updated.
